1. Scope

This policy explains how SBHOME Staging and Design LLC handles information through its website and online staging estimate, approval, payment and scheduling system. It also covers information provided by a realtor or another authorized person on behalf of a homeowner.

2. Information handled by the system

  • Contact and verification information: names, email addresses, telephone numbers, client-list information, verification records and private estimate-link records.
  • Property and request information: property addresses, property characteristics, requested rooms, photographs, notes and questions submitted through the system.
  • Project records: estimate details, AI-assisted recommendations, revisions, approvals, agreement acceptance, payer designations, selected appointments and related correspondence.
  • Invoice and payment records: customer and invoice identifiers, amounts, payment methods, payment status, renewal authorization and limited saved-card details such as card brand, last four digits and expiration date.
  • Technical information: information generated when using the website or connected services, including browser and device information, cookies, session information and service or error logs.

Information may come directly from you, from an authorized realtor or homeowner, from SBHOME's existing client records, or from the connected services used to administer your project. Provide only information you are authorized to share. Avoid including personal documents, access credentials or unnecessary sensitive details in property photographs.

3. How information is used

SBHOME uses this information to verify eligibility and email access, assess a property, prepare and review estimates, answer questions, record approvals and agreements, create and administer invoices, confirm payments, manage authorized staging renewals, check appointment availability, schedule staging and communicate about the project. Technical information supports operation, troubleshooting and protection against unauthorized access.

4. AI assistance

Property photographs, room descriptions and relevant request details may be processed by AI services, including OpenAI, to assist with property assessment, estimate preparation and answers to project questions. AI output can contain errors. SBHOME reviews estimates before releasing them to clients. Do not submit information that is unnecessary for your staging request.

5. Service providers and connected accounts

The system uses Squarespace for website delivery, Supabase for backend processing and storage, OpenAI for AI assistance, QuickBooks for invoicing and initial invoice payments, Stripe for secure renewal-card setup, Google Calendar for availability and scheduling, and email services for project communications. Information is transmitted to the providers as needed for the functions they support. Providers may also process information under their own applicable terms and privacy policies.

SBHOME's authorized QuickBooks connection supports company verification, customer and invoice management, payment-status checks and the accounting information needed to prepare invoices. Its authorized Google Calendar connection supports checking staging availability and creating project appointments. Connecting SBHOME's accounts does not give website users access to SBHOME's full accounting records or calendar.

Full card details entered through the secure Stripe card form are handled by Stripe. SBHOME's estimate records store provider identifiers and limited card details, rather than the full card number or security code. Initial payment details entered in QuickBooks checkout are handled by that payment service.

6. Sharing within a staging project

SBHOME shares relevant estimate, invoice and scheduling information with the realtor, homeowner and SBHOME personnel involved in the project. Homeowner estimate emails include the realtor. Staging invitations include the realtor, homeowner and info@sbhomestagingdesign.com. Recipients may see the other recipients' email addresses, project address and appointment details.

Private estimate links provide access to the associated project and should be kept secure. SBHOME may also disclose information when required by applicable law or reasonably necessary to address fraud, unauthorized access or a legal claim.

7. Cookies and security

The website and connected services may use cookies or similar technologies for essential functionality, sessions and, where enabled, website analytics. Use the website's cookie controls where available and your browser settings to manage cookies. Disabling essential cookies or storage may affect verification or other website functions.

SBHOME uses access checks and security measures intended to protect project information. No online system can guarantee complete security. Contact SBHOME promptly if you believe a verification code, private project link or account has been accessed without authorization.

8. Retention, requests and disconnection

SBHOME retains information as needed to administer staging projects, support renewals, maintain business and accounting records, resolve disputes and meet applicable obligations. Retention varies by record type and purpose. Information may also remain in provider backups or records under the provider's retention practices.

You may request access to, correction of or deletion of information associated with your project by emailing info@sbhomestagingdesign.com. SBHOME may verify your identity and authority before responding. Some records may need to be retained for accounting, contractual or legal purposes, and deletion of required information may prevent further use of the online system.

An authorized SBHOME account administrator can revoke a connected provider's authorization through that provider's account controls. Revocation stops access under that authorization but does not automatically delete previously created invoices, appointments or project records. Clients can contact SBHOME regarding their own project information and renewal-card arrangements. Do not email full card numbers or passwords.
